If your team still sends renewal reminders by hand, chases Gift Aid declarations from a spreadsheet or spends Monday mornings merging duplicate contacts, you’re not alone. These jobs matter, but they are repetitive, easy to forget and a poor use of skilled people’s time.
CiviCRM can do most of this work for you. Much of it uses features already built into CiviCRM, plus a couple of widely used extensions. Here are five jobs worth automating first.

1. Membership renewal reminders
Renewals are the lifeblood of membership organisations, and a reminder that goes out late, or not at all, costs real income.
How to automate it: CiviCRM’s built-in scheduled reminders can email members a set number of days before their membership ends, and again after it lapses if they haven’t renewed. Each email can include a personal renewal link, so members can pay online in a couple of clicks.
Go further: offer automatic renewal through a recurring payment processor such as GoCardless or Stripe, so members renew without having to do anything at all.
2. Thank-you emails and welcome journeys
A prompt, personal thank-you makes a real difference to whether a donor gives again. A short welcome series helps new members and volunteers feel part of things from day one.
How to automate it: online donation and membership pages send an immediate receipt. For anything more tailored, the CiviRules extension lets you set up rules such as “when someone makes their first donation, send a personal thank-you from the director” or “when a new member joins, send a welcome email, then a follow-up two weeks later”. You can vary the message by campaign, amount or membership type.
3. Gift Aid declarations
Unclaimed Gift Aid is money left on the table: an extra 25p for every £1 donated by eligible UK taxpayers. The admin of collecting and tracking declarations is often why it gets missed.
How to automate it: add a Gift Aid declaration to your online donation and membership forms so eligible supporters can opt in as they give. CiviCRM’s Gift Aid extension then records the declaration against the contact and flags eligible donations, ready for your HMRC claim. Our Gift Aid setup guide walks through it step by step.
4. Event reminders and follow-ups
Events create a surprising amount of admin: confirmations, joining instructions, reminders, and feedback requests afterwards.
How to automate it: CiviCRM sends confirmation emails when someone books, and scheduled reminders can send joining instructions a week before, a reminder the day before and a thank-you with a feedback link afterwards. For online events, the joining link can go out automatically too.
5. Keeping your data clean
Duplicate contacts, inconsistent addresses and out-of-date records make every mailing and report less reliable, and cleaning them up by hand is slow.
How to automate it:
- Set up duplicate-matching rules so CiviCRM recognises existing contacts when people donate, book or sign up, instead of creating new records
- Use smart groups to spot records with missing or suspicious data, so problems surface before a mailing goes out
- For larger clean-ups, AI-assisted tools can suggest likely duplicates and standardise names and addresses, with a person approving the changes
Connecting CiviCRM to your other tools
Some jobs cross systems: a new donation that needs to appear in Xero, a Shopify order that should create a contact, or a form on your website that isn’t built with CiviCRM. That’s where tools such as n8n, Make or Zapier come in, connecting CiviCRM to everything else. Our comparison of n8n, Zapier and Make explains the differences.
Getting started
Pick the job that causes the most frustration or costs the most income, usually renewals or Gift Aid, and automate that first. Test it on a small group, check the emails read well, then switch it on for everyone.
We’ve built CiviCRM automations for UK charities and membership bodies for more than ten years. See our automation and AI services, or book a free 30-minute automation review and we’ll show you which of your admin jobs could run themselves.
